Thank you for your interest in working with Tavistock Events Company. Please complete this form if you are interested in becoming a vendor at one of our Lake Nona community events. Your inquiry will be routed to the appropriate person and we will respond to you within 2 working days.
PLEASE ONLY COMPLETE THIS FORM IF YOU MEET THE FOLLOWING REQUIREMENTS:
- Copy of licensing & insurance are required selected
- "LAKE NONA MARKETING, LLC. AND IT'S AFFILIATES, SUBSIDARIES & RELATED ENTITIES" must be listed as additionally insured on policy
- Photo of booth/set-up and product are required if selected
IMPORTANT THINGS TO NOTE:
General Event Parameters:
Tavistock event management is responsible for the recruitment of vendors, distribution of event policies and procedures, approval of artwork, assigning spaces and executing vendor agreements- All items for sale must be approved by tavistock event management prior to vendors use of space at the specified event
- The size of vendor spaces are 10' X 10'. event management is to determine where each vendor is placed within the event and may limit the number of spaces to be used by any one vendor
- No vendor space is permanent and may be moved, shifted or removed at any time by event management
- 24 hour cancellation policy: $150 fee
Set-up/Breakdown:
- Vendors are expected to arrive onsite and check in with event management one hour prior to the event, unless otherwise discussed
- Vendors must move their vehicle after unloading- prior to setting up- to ensure timeliness
- All booths must be completely set up by event opening and stay open with complete set up until the close of event
- Vendors must tear down their booth entirely prior to retrieving their vehicles for load out
- When inside your vehicle- please keep windows lowered and hazards on. your speed should match that of walking escort, no faster
- Only specifically designated escorts are to guide vehicles
- Vendors are to park on the 3rd floor- unless handicapped/disabled permit
Mandatory:
- Vendors must police area post-event and ensure trash is secured and properly disposed of in accordance with city, county and state waste disposal
- Vendors are responsible for set-up materials including, but not limited to, tables, tents, chairs, weights, signage and table cloths. all tables must be covered with table cloths so no table legs show
- Signage must be properly displayed with vendors business name by either easel, a-frame or banner (hung securely on tent structure)
- In any inclement weather, await instruction from event staff. safety is the no. 1 concern
